This Privacy Policy explains how FleetOps One, a product of One Pound Apps Ltd, handles personal information when you use the FleetOps One mobile, desktop or web application and related services.

Important: FleetOps One is designed for organisations managing fleet operations. Your employer, operator or other organisation may also act as a controller of information entered into the service.

1. Information we may process

Account information such as name, email address, authentication identifiers and organisation membership.
Organisation, depot and operating-centre information.
Vehicle, trailer, plant and asset records.
Inspection, walk-round check, defect, maintenance, repair, rectification and release records.
Driver compliance information such as driving-licence details, licence categories or entitlements, expiry dates, Driver CPC/DQC information and tachograph-card information where applicable.
Training, qualification or organisation-specific compliance records where configured.
Photos, documents or other evidence uploaded to support fleet, maintenance or compliance records where enabled.
Technical, security and audit information needed to operate, protect and troubleshoot the service.
Location information where a feature explicitly requires or requests it and the user grants the relevant device permission.

2. How we use information

We may use information to provide and secure FleetOps One; authenticate users; apply role-based access; maintain fleet, maintenance and compliance records; support operational workflows; provide reminders or status information; investigate faults or misuse; and comply with applicable legal obligations.

3. Legal bases

Where UK data-protection law applies, the lawful basis may depend on the context and the organisation using FleetOps One. Processing may be necessary for a contract, a legitimate interest, compliance with a legal obligation, or another lawful basis identified by the relevant controller.

4. Sharing and service providers

Information is not sold to advertisers. We may make information available to authorised users within the relevant organisation according to their role and access permissions. We may also use service providers that help us host, secure, authenticate, maintain or operate the service. FleetOps One currently uses Supabase services for backend functionality, including authentication and database services.

5. Sensitive and restricted records

Driver compliance records can contain sensitive personal information. FleetOps One uses role-based access controls intended to restrict these records to the driver and authorised organisation personnel. General operational audit records are designed to avoid unnecessarily exposing licence numbers, card numbers or similar private values.

6. Data retention

We keep personal information only for as long as needed for the purposes described above, subject to applicable legal, contractual, safety, compliance and record-keeping requirements. Fleet and compliance records may need to be retained after an account is closed where an organisation has a lawful reason or legal obligation to retain them.

7. Account and data deletion

Users can request account deletion using our account deletion page. Where deletion is requested, personal account data will be deleted or anonymised unless retention is required or permitted by law, or the relevant organisation must retain operational or compliance records.

8. Security

We use technical and organisational safeguards including authentication, role-based permissions, database access controls, audit controls and restricted access to private driver-compliance records. No system can guarantee absolute security.

9. International processing

Some service providers may process information outside the United Kingdom. Where this occurs, appropriate safeguards will be used where required by applicable data-protection law.

10. Your rights

Depending on applicable law, you may have rights to access, correct, erase, restrict or object to processing of your personal information, and in some circumstances to data portability. Where your organisation is the controller, you may need to exercise those rights through that organisation.

11. Children

FleetOps One is a business fleet-management product and is not intended for children.

12. Changes to this policy

We may update this Privacy Policy as FleetOps One changes. The current version will be published on this page with its last-updated date.
